What to Ask When Venue Shopping

There are lots of key things to look for when venue shopping. Each person has different needs, but here are some key things to look for and ask when picking out venues.

What’s Included

Of course the overall cost of the venue is important, but there are other aspects to factor in as well. Not all venues compare apples to apples. Find out what’s included and what’s not included in the venue rental cost before you sign. Does it come with tables and chairs or do you have to rent those? Are linens included?

Required Vendors

Many venues are now requiring that their approved vendors be used for events. Often now, you cannot bring in your cousin to be your day-of coordinator and your uncle who owns a restaurant to cater. Ask about vendor requirements and get pricing estimates from those vendors before you sign. You don’t want to book a venue if the required caterer is way out of budget. If you’re required to use a certain rental company, make sure they offer everything you need and you like the styles and colors available.

Rental Time

Be sure to ask what the rental time is for your event so you can coordinate your timeline properly. Some venues only allow you to get in a couple of hours before your event, so you’ll need to schedule lots of help for setup if you have a lot of decorations. Also ask about the rules for cleanup. Can you have rentals picked up the following day or business day or do they have to be off property that evening? Make sure you’re clear on the venue’s expectations so you’re not hit with extra time fees.

Bridal and Groom Suites

Most venues now have bridal suites for the girls to get ready on site. Make sure you ask about this before you book so you can plan the day and coordinate with hair and makeup vendors. If there’s not a space on site for getting ready, many bridal parties meet up at a salon for hair and makeup appointments and breakfast. Or book a nearby hotel room for getting ready and then move to the venue when ready for photos.

Candle or Sparkler Restrictions

Many venues have restrictions on candles and sparklers so be sure to ask. Can you use candles in they’re in a vase? Or are you only allowed to use battery-operated candles? Can sparklers be used outside in designated areas?

It can be overwhelming trying to choose a venue and remember all the questions to ask when you’re there! Take a list with you of key points or questions so you don’t forget. If you’re not good at visualizing the space and its potential, take a friend or family member with you to walk the space and offer design ideas. The bottom line is get all the info during your meeting so you can easily compare venues to make your final decision. When picking out venues, don’t forget that any venue can be transformed with the right plans and budget.
