7 Things To Consider When Choosing Your Venue

Looking at venues is one of the most exciting parts of event planning! It’s the time to see the space, walk around the grounds and see all the different areas for pictures, and your imagination runs wild with ideas of draping and uplights. Here are a few things to consider when choosing a venue for your event…

Vibe

The overall vibe of the space is a big deal and you want to make sure it fits with the event you’re dreaming of. Some venues are more of a blank slate and allow you to take it make different directions. Others are more decorated for you and have a style already. Make sure you choose a venue a venue that already have the vibe you want or is versatile enough to match your style. There are lots of decorating options to bring a space to life, such as draping, lighting, florals, wall art, rugs, linens. Keep all of these in mind when venue shopping if your budget allows for them.

Seating

Make sure you ask your venue how many people it will comfortably hold and specify whether you’re looking at cocktail or seated dinner. A venue may hold 200 people standing only with cocktail tables or 125 with seated tables and chairs. Make sure you find a space big enough for everyone. You may get RSVP’s but there are always a few extras that show up anyway.

Rentals

Before you book a venue, find out what’s included. Some venues are empty room only and some come with tables, chairs, and linens included. Make sure you’re comparing apples to apples when deciding on your final space. If you like the chairs and tables that are included, you can remove those from your rental budget!

Time

Make sure to ask how long you have the venue for. Some venues will let you set up the night before if they’re not booked, others won’t let you in until 10 am. Make sure you plan plenty of time for set up and breakdown of the event if you don’t have an event planning team.

Preferred Vendors

Some venues will allow you to use any local vendor that is licensed. Others only allow one or two caters into their space to work. Make sure you ask about which vendors are allowed and if they have any recommendations when choosing a venue. Finding a vendor who has worked there before or comes recommended will make your life much easier! This especially comes in handy for caterers as they need to be familiar with the food prep space, appliances that are included, and cleanup policy for the venue. If a caterer does not properly clean up after your event, you may be charged an additional clean up fee.

Venue Planner

Venues do come with a “planner” there on site for your event. Their job is to show you light switches and help you find scissors. This person will not be available to direct your bridal party, set up florals, or make you a dinner plate. If you’re looking for a day-of coordinator for your event, make sure you book one.

Insurance

Most venues require you to purchase an insurance policy for your event, in case the worst happens. Check first with your current homeowner’s insurance and see if this is something you can add on for the day. I use WedSafe and it’s super easy. You can book everything online and it usually runs about $175-250 for a $1 million policy.
